Data Editor

When in Edit mode, the member data contained in the fields defined in the data format is displayed in a grid.

Data is displayed in "pages" (the number of data Records that will fit in the grid without the need for a vertical scroll bar).

Navigation around the data file can be achieved by:

  • Home, End, "arrow" keys and "Ctrl-arrow" keys for movement within the current "page" of data;

  • Ctrl-Home and Ctrl-End for the first and last Records;

  • PgUp and PgDn to move back or forward one "page" of data; or

  • specifying a "page" number or Record number in the Information frame.

Data can be changed by simply typing the new value in a cell or by editing the existing value.

Right Clicking on a Record Number brings up a menu with the following options:

  • Append one or more new Records to the file;

  • Delete Records from the file;

  • Go To a position in the file;

  • Tag and Untag Records (as a means of deleting Records).

Right Clicking on a Column Description brings up a menu with the following options:

  • Block or Unblock multiple Records in a column of data;

  • Change all blocked cells to a particular value;

  • Select Records based on the column of data;

  • Replace values in a data column;

  • Sort a data column in either ascending or descending order.

Right Clicking on the data area will initiate the Find module for searching for text strings within the file.

Member Data File

Select the member data file to be edited by either:

  • Right Click to get a list of the files specified in the Scheme Details
  • Double click to select a file from the Windows Explorer; or
  • specify a filename (that doesn't already exist) to create a new file in the format specified in the data format

The name of the file can be edited when in Edit mode to enable the changes in the data file to be saved under a new name.

Data Format

The data format of the data file(s).

The data format are saved parameters specifying the column specification of each of the data items contained in the data file. Data format descriptions are prefixed by an indication of the type of format e.g. <Act> for Actives, <Def> for Deferreds, <Pen> for Pensioners.

If you intend to use the GMP Calculators to calculate GMPs after creating your data, ensure that columns are created in your data file for these fields. (In addition, enter dummy data into the data file for the first member that is at least as large as the largest expected GMP for all members. This will ensure that the Format created leaves sufficient space for the GMPs calculated.)

Data>Build

If you have created data using Data>Build then the format name will be the same as the original source (CSV) file or Excel file/tab name.

BasisModule>Migrate

If you have migrated your data files from earlier versions the name will be unchanged.

File Information

  • Current Field
  • Type of Field
  • Width of Field
  • Position of Field
  • Records
  • Search String
  • Page
  • Record
  • Pension Frequency

When in Edit mode, the following information about the data file is displayed in the Information frame at the bottom of the form:

  • details of the type, width and position of the current data field;
  • the frequency of salary and pension data fields;
  • the current page and Record number (these can be edited to move about the file);
  • the currently tagged Records or blocked cells (it is not possible to have both tagged Records and blocked cells at the same time); and
  • the current search string.

The Cancel button

When in Edit mode, the Cancel button can be used to ignore all changes made to the data file (since entering Edit mode or the last time that Save or Save As was pressed).

The Save or Save As buttons

When in Edit mode, only one of the Save or Save As buttons will be displayed.

To save over the existing file, click the Save button.

To save to a new file name, amend the file name in the Member Data File box and the Save As button will become available.

The user will remain in Edit mode after pressing either Save or Save As.

The Find Next button

When in Edit mode and a search string in the Find module has been found, the Find Next button will be displayed to enable movement to the next occurrence. The F3 key can also be used, if preferred.

Data Notes

Click to show any Data Notes warning of any issues that may affect how the data file is edited.

The Edit button

The Edit button is used to select the data file and data format and move into Edit mode.

Quit

Clicking on the Quit button allows you to exit without saving any of your changes.

In some of the screens you will be asked to confirm if you want to exit Ignoring all changes. If you click Yes, the file will be closed without saving any changes. If you click No you will be returned to your original screen.
